Best Practices for emailing files
Updated September 2008
Navigating the network and directory structure of Loyola College can
be challenging and frustrating at times, even when things are working
perfectly. What follows are just some ideas of how best to email me
the files. Most of what I say follows from using a Windows PC, so if you
use a Mac or Linux machine, you'll have to adjust accordingly but feel
free to ask me questions about this.
See How to access from home
on the Technology Services website. IF YOU HAVE A MAC, see the link at the bottom of that page (link to a PDF document) on how to
transfer files back and forth between your Mac and G-drive.
Remember to also look at Citrix/Matlab
Info for an
overview of running MATLAB through Citrix.
What's here:
- If you don't have your own computer
- If you have your own computer
- Still having trouble?
- While working on the project, save the files in MATLAB to your
G-drive. This allows you to work on the project from any computer on
campus, or even away from campus as long as it has an internet
connection. Also, these files are backed up every night.
- Once done and ready to email, make sure you are logged into the
G-drive (this has to be done at a Loyola computer). Most computers on campus force you to log in when you sit
down at the computer. Others, you have to log in manually by
double-clicking on the G-login drive icon on the desktop (be sure to
then log-out!). To see if
you're logged in, you should be able to see your drive when you look
at the directory structure of the computer (like when you click on "My
Computer" in Windows).
- Attach the files to your email.
- IF YOU'RE HAVING TROUBLE FINDING THE
FILES ON G-DRIVE or you want to email from a non-Loyola
computer, re-save the files in MATLAB to the hard-drive of the computer. Remember,
this is the C$ directory found
in the MATLAB directory structure. You may have to find a Temporary
Student Folder or some other folder that you have access to save to in
order to do this.
- While working on the project, save the files in MATLAB to your G-drive. This allows you to work
on the project on any computer on campus, or even away from campus as

- Once saved to your computer, you should be able to find the files
through Groupwise email system in order to attach them in an email to
me.
First off, anytime you're having trouble with Matlab or Citrix,
whether you can't log on, or it seems to be hung, etc., you should
contact Technology Services right away. You can call x5555 or you can
email them the problem at 5555@loyola.edu. If you need to
contact them, also contact me. If you're calling 5555, email me also
about your issue. Or, if you're sending them an email, copy me on the
email. THE FIRST TIME I HEAR OF AN ISSUE SHOULD NOT BE THE DAY THE
PROJECT IS DUE.
Just having problems finding the files to email me, even though you
KNOW they're there in your G-drive? Here's what you do AS LAST RESORT.
I WILL NOT ACCEPT FILES IN
WORD, OR ANY OTHER FORMAT OTHER THAN .M FILES AND JPG FILES. As a last resort:
- Copy and paste the SCRIPT (.m) files in an email, after an
explanation to me of what is going on. This allows me to copy/paste
the commands right into MATLAB.
- If you have JPG files to email, print the JPG files with a note at top explaining what happened and
turn in with your other work.
